This policy covers this website — what it collects when you browse it or send us a form. Health information held by the practice as part of your care is covered separately by our Notice of Privacy Practices, which sets out how it may be used and disclosed and what rights you have over it.

Information you give us

When you submit an appointment or consultation request, we collect the details you provide — your name, phone number, email address and anything you write in the message field — so we can respond and arrange your visit. The consent checkbox on each form records that you agreed to be contacted about it.

You do not need to create an account to use this site, and we do not ask for payment details anywhere on it.

Information collected automatically

Like most websites, ours records some technical detail when you visit: your IP address, the type of device and browser you are using, the pages you viewed and how long you stayed, and the site or search that sent you. Our web host also keeps standard server logs for security and troubleshooting.

Cookies and website analytics

This website uses Google Analytics, loaded through Google Tag Manager, to understand how visitors find and use the site. It places cookies in your browser and records things like which pages you viewed, how long you stayed, the approximate area you visited from, the type of device and browser you used, and whether you arrived from a search engine, an advertisement or another website.

We use this only in aggregate, to see which pages are useful and how people reach us. We do not use it to identify you personally, and we do not combine it with your dental records.

What we do not send to analytics: the contents of any form you submit. Your name, phone number, email address and the message you write to us are sent only to the practice. When you reach the confirmation page after submitting a form, we record that a request was made — never what it said or who made it.

Google processes this data on our behalf and may use it in accordance with its own privacy policy. If you would rather not be included, you can block or delete cookies in your browser settings, use your browser's "do not track" setting, or install Google's Analytics opt-out add-on. Nothing about the site stops working if you do.

How we use your information

We use what you send us to reply to you, arrange your appointment, answer your question and provide dental care and related services. With your consent, we may reach you by phone, text message or email about the request you made.

We do not sell your personal information, and we do not share it with anyone for their own advertising.

Who we share it with

We share information only with the service providers that make the site and our correspondence work, and only so far as they need it to do that job:

• Our web hosting provider, which stores the site and its server logs.
• An email delivery provider (Postmark), which delivers your form submission to the practice inbox.
• Google, for the website analytics described above.

We may also disclose information where the law requires it. Beyond that, nothing leaves the practice.

Text messages and calls

If you give us a phone number and agree to be contacted, we may call or text you about your appointment or your enquiry. We will not send you marketing texts. Message and data rates may apply, and you can ask us to stop at any time — just tell us, or reply STOP to a text.

Links to other sites

Some pages link to services we do not run. Our new patient forms are completed on our practice management provider's patient portal, and our address links to Google Maps. Once you are on one of those sites, their privacy policy applies to what you do there, not ours.

Protected health information

As a dental practice we are a HIPAA covered entity. Health information held about you as part of your care is protected under the Health Insurance Portability and Accountability Act and is handled in accordance with our Notice of Privacy Practices, which is also available in printed form on request. That notice explains how health information may be used and disclosed, and sets out your rights to see it, get copies, request corrections, ask for restrictions, and complain.

Please don’t send health details through the form

The forms on this site are ordinary web forms, not a secure patient portal. They are fine for “I would like an appointment” or “one tooth has been bothering me”, but please do not use them to send detailed medical history, records, images or anything else sensitive. Call the office instead and we will take it properly.

Data retention & security

We keep what you send only as long as we need it to serve you and to meet our legal and recordkeeping obligations, then dispose of it securely. Form submissions that never become appointments are not kept indefinitely.

The whole site is served over an encrypted connection (HTTPS), so what you type into a form is protected in transit. No website can promise perfect security, but we take reasonable measures to protect information against loss and unauthorized access.

Children’s privacy

We treat children as patients, of course, but this website is not directed at children and we do not knowingly collect information from a child through it. A parent or guardian should make any request on a child’s behalf. If you believe a child has sent us something through the site, contact us and we will remove it.

Your choices

You can browse the site without sending us anything. You can refuse or delete cookies, and opt out of analytics, as described above. If you have sent us a form and would rather we did not keep it, ask us and we will delete it, unless it has become part of your dental record — in which case the rights in our Notice of Privacy Practices apply instead.

Changes to this policy

If we change how the site handles information, we will update this page and change the date at the top. Significant changes will be described here rather than made quietly.
